Using our website
The only cookies our site uses are those used by Google Analytics for the purposes of generating analytical information on the usage of this site. For example how many visitors this site has, and what pages are visited.
Google Analytics has been configured so that it does not collect personal information. For example IP addresses. It is also configured to store collected analytical information for 24 months.
The site collects no other information.
By using the contact form, you consent to us returning your query and using your contact details to engage in dialog with you. Your details will not be used for marketing purposes.
Sources of personal data collected
This policy details the types of different information collected, and how the information is stored and used. Ward Downham Improvement Design Ltd is a business to business (organisation) company. Personal data collected consists of the contact details of the representatives of customer organisations. This also applies to representatives of organisations we engage with in order to provide our services on behalf of other customer organisations.
By contacting us by any method, you consent to us returning your query and engaging with around it. We will retain your details on our email systems (see email retention) but will not use them in any marketing activities.
Basic corporate information
For the purposes of tax requirements, we keep basic corporate information, including details of named representatives, in the form of invoice and purchase order information for a period of seven years. This information takes the form of paper based records and also records held on digital (cloud) accounting systems.
We may retain our email records, whether generated through working with you, or in an enquiry instigated by you. These emails contain the information you provide in them, and also the contact details of the person sending them.
Basic email information is retained (email addresses and telephone numbers). They are not used for any marketing purposes.
Reports and other written outputs
Reports and other written outputs, produced in the process of satisfying customer organisation requirements may also contain the names and corporate contact details of representatives of customer organisations. This also applies to representatives of organisations we engage with in order to provide our services on behalf of other customer organisations. We may retain copies of these written outputs, and related drafts and working documents.
Our systems and security
We take security seriously. In particular:
- Our electronic hardware is encrypted (such as laptops).
- Our corporate information is backed up using cloud-based services.
- We use secure document shredding services for disposing of paper documents.
- We use virus checking software.
We will not be liable for any loss or damage caused by a virus, distributed denial-of-service attack, or other technologically harmful material originating from our materials or electronic correspondence.
We will also not be liable for any losses resulting from loss of information from our systems. This includes:
- loss of profits, sales, business, or revenue;
- business interruption;
- loss of anticipated savings;
- loss of business opportunity, goodwill or reputation; or
- any indirect or consequential loss or damage.
